Employees get to work from anywhere and with people they\u2019d never normally work with. Businesses enjoy lower overheads and access to a broader talent pool. And beyond individual convenience, embracing remote work means promoting a modern, adaptable, and resilient work culture.<\/p>\n\n\n\n<p>As a remote digital business, TAMLO understands this well. \u2018Of course people have different preferences,\u2019 says James, TAMLO\u2019s consultant, \u2018some people prefer to meet more often and come into an office, others don\u2019t. But ultimately remote working allows more time for other commitments in your life. And so, because we're remote, our employees can do that, which is great!\u2019<\/p>\n\n\n\n<p>However, we know that remote work remains a hot topic of debate among business leaders. While some have reported <a href=\"https:\/\/www.forbes.com\/sites\/jenamcgregor\/2023\/11\/14\/companies-with-flexible-remote-work-policies-outperform-on-revenue-growth-report\/?sh=3fcd5e125ae4\">higher revenue growth<\/a>, others are <a href=\"https:\/\/www.bbc.com\/worklife\/article\/20230206-the-companies-backtracking-on-flexible-work#:~:text=Disney%20isn't%20the%20only,full%2Dtime%20office%20working%20patterns.\">backtracking<\/a> on their work-from-home policies. This is perhaps because, as with anything new, there are hurdles to overcome.&nbsp;<\/p>\n\n\n\n<p>TAMLO began as a remote business long before the pandemic. With only two employees and office space not a financially viable option, a remote model was the only way. We\u2019re proud to have gradually built a collaborative, remote team across Tokyo and London. But, of course, like any other remote business, we\u2019ve experienced our fair share of challenges \u2014 here\u2019s how we\u2019ve dealt with them.<\/p>\n\n\n\n<h3>The challenges of remote work, and TAMLO\u2019s solutions<\/h3>\n\n\n\n<ol><li><strong>Isolation and the digital divide<\/strong><\/li><\/ol>\n\n\n\n<p>\u2018We're very conscious of people feeling isolated or lonely, particularly when we bring on juniors,\u2019 says James. \u2018I know when I was 21 I wanted to be around other people.\u2019<\/p>\n\n\n\n<p>With a team straddling Tokyo and London and no fixed office in either city (although we do have designated co-working spaces in both), seeing each other in the flesh isn\u2019t easy, but we do what we can.<\/p>\n\n\n\n<p>\u2018The expectation is that both the Tokyo and the London team meet once a week respectively,\u2019 says Nanako.<\/p>\n\n\n\n<p>What\u2019s important to TAMLO though is maintaining flexibility. \u2018We don\u2019t have a strict schedule,\u2019 Nanako continues, \u2018it\u2019s always dependent on everyone\u2019s availability and it\u2019s not mandatory. However, we all try to make it work because we all recognise the positive effects of meeting and working together in person in the same room.\u2019<\/p>\n\n\n\n<p><strong>2. Time Zones<\/strong><\/p>\n\n\n\n<p>As an international organisation, TAMLO contends with time zone barriers (as well as challenges with language and culture). We talked extensively about this in our article <a href=\"https:\/\/tam-tamlo.com\/en\/905\">How TAMLO bridges the language, culture and time zone gap<\/a>, but suffice to say, rules around timings to emails, shared calendars and agreed working hours help with the time differences.<\/p>\n\n\n\n<p><strong>3. Lack of spontaneity and natural human interaction<\/strong><\/p>\n\n\n\n<p>It\u2019s those impromptu conversations and casual water cooler moments that create a vibrant work environment. Remote work, with its scheduled online meetings and instant messaging platforms, tends to abolish these small yet important moments of camaraderie.&nbsp;<\/p>\n\n\n\n<p>The solution, TAMLO found, lies in harnessing the right virtual tools that reintroduce spontaneity.<\/p>\n\n\n\n<p>\u2018We lean on technology as much as we can,\u2019 explains James. \u2018We use a platform called <a href=\"https:\/\/www.ovice.com\/\">oVice<\/a>, which is a virtual office space.\u2019<\/p>\n\n\n\n<p>OVice allows members\u2019 avatars to appear in a virtual office space when they\u2019re \u2018at work\u2019. They can move theirs around, take it into a meeting room or show that they\u2019re on a call or busy. They can even, as James puts it, \u2018tap someone on the back and ask to chat to them about something. It sparks spontaneous conversations.\u2019<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img src=\"https:\/\/lh7-us.googleusercontent.com\/_Pcrn7SBQsJz25VicjNJcTr1Fgt7W_vj91MfZJOPdFuupXMs04NkqxDJzx_XKYtyv4ZUt08sGQ7A5YVJ8QxEDNQNEb_odKaXkx49bgJyCo0WOVGGJqezEEpoTlawp8LutgIiCA9TXb31ExAeh01WQTM\" alt=\"remote work\"\/><\/figure>\n\n\n\n<p>\u2018OVice is also great for visibility,\u2019 adds Nanako. \u2018We\u2019ve found that newcomers especially are hesitant to message colleagues on Slack because they don\u2019t know whether or not they\u2019re busy. But we want to encourage questions as much as possible.\u2019<\/p>\n\n\n\n<p>\u2018We also use Miro [a whiteboarding tool] which helps with creative visioning\u2019, says James. \u2018It allows us to present, share and discuss ideas for a creative campaign while together on a call.\u2019<\/p>\n\n\n\n<p><strong>4. Unexpected tech challenges<\/strong><\/p>\n\n\n\n<p>Sometimes tech saves the day only to present a new, unexpected challenge.&nbsp;<\/p>\n\n\n\n<p>\u2018We were communicating almost entirely via Slack\u2019, says Nanako \u2018but we found that, because it\u2019s so text based, especially in the Japanese language, tone could be misinterpreted and there was too much room for miscommunication. So we all agreed that for certain conversations, particularly when giving feedback, we would speak directly to the other person.\u2019<\/p>\n\n\n\n<p><strong>5. Security<\/strong><\/p>\n\n\n\n<p>With remote work unfortunately comes the increased risk of cyber threats and data breaches. It's not that employees are being negligent, but inadvertent use of unsecured networks and untrusted devices means sensitive company data is vulnerable.<\/p>\n\n\n\n<p>As such, TAMLO implements robust security measures and strict rules for staff.&nbsp;<\/p>\n\n\n\n<p>\u2018We\u2019re not allowed to use public Wi-Fi, even in hotels,\u2019 explains Nanako. \u2018And staff must take a security survey every year reminding us of things like this.\u2019<\/p>\n\n\n\n<p><strong>6. Trust in employees and the productivity debate<\/strong><\/p>\n\n\n\n<p>In the new hybrid work landscape, mistrust is still prevalent. <a href=\"https:\/\/www.peoplemanagement.co.uk\/article\/1745149\/two-thirds-employers-do-not-trust-staff-work-remotely-survey-finds#:~:text=The%20survey%20by%20Ricoh%20Europe,hard%20or%20effectively%20at%20home.\">65% of business decision makers<\/a> in Europe said they did not trust their staff to work as hard away from the office, and some <a href=\"https:\/\/www.bbc.com\/worklife\/article\/20230127-how-worker-surveillance-is-backfiring-on-employers\">organisations use surveillance software<\/a>.&nbsp;<\/p>\n\n\n\n<p>However, having been fully remote since our inception, this isn\u2019t an aspect of remote work that concerns TAMLO.<\/p>\n\n\n\n<p>\u2018To be honest, we\u2019re not worried about people not working because we\u2019re so busy!\u2019 laughs Nanako.&nbsp;<\/p>\n\n\n\n<p>James agrees, and adds: \u2018If I\u2019m handing out work and people are doing it within the allotted time frame, then that\u2019s enough for me.\u2019<\/p>\n\n\n\n<p>\u2018But trust is an issue in various aspects\u2019, explains Nanako. \u2018With new hires especially, it\u2019s important to build trust in the beginning, not just for us but for the new employee. We want everyone to learn about each other, our quirks, how to work best with each person and to trust one another. For us, it\u2019s important to build that rapport straight away. In Japan, I try to meet new hires at least twice a week, face to face.\u2019<\/p>\n\n\n\n<p><strong>7. Cultivating a supportive environment<\/strong><\/p>\n\n\n\n<p>In any organisation, supportive leadership contributes significantly to employees\u2019 well-being, job satisfaction and overall productivity. In the realm of remote business, the need for a supportive environment is, arguably, even more important. It goes beyond professional aspects, too \u2014 managers need to recognise and address the personal challenges that can arise in a remote setting.<\/p>\n\n\n\n<p>\u2018TAMLO is still young and learning,\u2019 admits Nanako. \u2018In the beginning we didn\u2019t provide enough support or training to new hires, nor did we have realistic expectations. But we\u2019ve created methodologies off the back of early mistakes.\u2019<\/p>\n\n\n\n<p>\u2018Being supportive is now our most important value\u2019, says James, \u2018and Nanako, Yuichi and I try to personify that as much as we can.<\/p>\n\n\n\n<p>\u2018We\u2019ve found that with new members, it's best to start with the human stuff, like culture: who we are and what our values are. As soon as new starters have some semblance of that, it becomes the backdrop to any decisions they have to make \u2014 i.e. they\u2019ll have more confidence in asking a question even if they think someone\u2019s busy, because they know that we value being supportive.\u2019<\/p>\n\n\n\n<p>. . .<\/p>\n\n\n\n<p>Ultimately, any new way of working throws up new challenges, but adaptability is key. Moreover, it\u2019s about how you adapt. Do you change, begrudgingly, because you have to?
